Overview

The Add Individual Membership Type tool is used to create new individual membership types. Membership types are typically defined in the organization's bylaws or constitution, have a cost, a limited duration and grant privileges to the membership holder.

Each individual membership type is associated with one or more User Types, some of which confer roles that grant access Web site access privileges. To view a list of available User Types, or to manage these types, use the Manage User Types tool.

Different types of memberships may assign different levels of Web site access, or all memberships can assign the same level of access regardless of membership level, as specified by the organization's rules. Access privileges granted through membership cannot be removed from a member without disabling the membership or deactivating the member's account.

Set options to define the membership type, including individual types and the kinds of information to be tracked for this membership type.

Add Details

Add membership type details, including membership type name, associated User Types, duration and description.

Membership Type Details
Prefill

If you would like to create a membership type based on an existing type, select a membership type from the list to have fields prefilled with the settings from the existing type.

Membership Type Name

This is the official name of the membership type (e.g., 'Member', 'Sponsor', etc.), and will be displayed on company membership signup and renewal forms.

User Types

Select any User Types to be granted through this membership. User Types provide a searchable grouping mechanism and may, or may not, be associated with roles that confer Web site access permissions. This may be a default type such as 'Member' or a type specific to this organization.

Note

This list displays User Types in the category 'General (with membership only)', which are available for individual membership types. It does not include User Types from any other categories. For more information, see Manage User Types.

Duration

Set the duration of this membership type. This date range will appear on membership signup and renewal forms.

The different durations are:

Fixed Dates

All memberships of this type have a specified start date and expire on a specified end date. Memberships acquired between those dates may have prorated fees.

A company with a 'Participant Company' membership type have an active membership term of 1 Aug 2002 until 1 Aug 2003. Participant companies who join between these dates may pay a pro-rated membership fee. This type of membership term is also known as an 'annual term.'

Based on Renewal Date

Memberships of this type are good for a certain amount of time (e.g., 1 year, 6 months) from the day that the membership becomes current.

A board company with a 'Board Company' membership type may serve for 2 years. A board company that joins in August will have an expiration date in August 2 years later. This type of membership term is also known as an 'anniversary term.'

Lifetime

Once a lifetime membership goes current, it never expires.

Founding members usually have a permanent place on the organization's board in recognition of the profound role these founders played in the establishment of the organization, so a 'Founding Company' membership is probably a permanent membership type, defined without an expiration date.

Display Order

The order in which this membership type will be displayed when the list of individual membership types appears on forms, etc.

Detailed Description

Provide a textual or HTML description of this membership type, in accordance with the organization's rules. These fields will be printed on the public membership type listings to describe this type of membership, the qualifications necessary to acquire it and the benefits granted with this membership type.

The benefits associated with this membership type.

Add Process

Set options to define the signup, new member, renewal and expiration processes according to the organization's rules. When you are done adding the process details, click Save.

Signup and Renewal Process

Many of these options are self explanatory, those that may not be include:

Dates Available

Use this field to specify the first or last date—or both— on which this membership type will be available for signup and renewal. Leave these fields set to the defaults if this membership type is always available.

Available on Application Forms

Use this option to specify whether this membership type is to be displayed on online application forms used by new members, by renewing members or both.

Billing Information

This section will be displayed if Kavi Billing is installed.

Price

Enter the dollar amount of the membership fee.

Description for the Bill

Kavi® Billing will automatically add the following descriptive information to the bill: the name of the membership type, the membership price and the membership duration. Any textual description entered in this field will be appended to the description automatically generated by Kavi® Billing.

Prorate Fees

This field will be displayed for membership types with fixed dates. If fees are to be prorated when new members acquire this membership type midterm, Kavi® Billing will calculate the prorated membership fee when the membership bill is issued. By default, the prorated fee is calculated on a daily basis, or your organization may have a custom proration structure.

If fees for new members who acquire this membership midterm should not be prorated, set this value to 'Do NOT prorate fees'.

New Member Process

Set these options to define the new member process according to the organization's rules.

Moderate New Members

Set this to define whether this membership type is moderated or not. If moderated, every new membership of this type must be approved by an administrator.

Moderation Instructions for New Members

Plain text or HTML instructions to be displayed to membership applicants who have submitted a signup form. These instructions are only displayed for moderated membership types, and then only if the membership is in the pending moderation state. For all other Membership Workflow states, standard default text will be displayed, as shown in the table Membership workflow state messages.

Renewing Member Process

Define the process that will apply to members when they renew a membership using this membership type.

Options:

Moderate Renewing Members

Set this to define whether this membership type is moderated when renewed or not. If moderated, every renewed membership of this type must be approved by an administrator.

Moderation Instructions for Renewing Members

Plain text or HTML instructions to be displayed to members who have submitted a membership renewal application. These instructions are only displayed for membership types with a moderated renewal process, and then only if the renewal is in the Pending Moderation state. For all other membership workflow states, standard default text will be displayed, as shown in the table Membership workflow state messages.

Expired Memberships

Set these options to determine what happens when memberships of this type expire. All memberships are eventually archived after expiration, but the grace period between expiration and archiving is configurable. Archiving automatically removes types, roles and access privileges assigned through membership, but the organization can configure whether the member remains active or is deactivated on archival (assuming the member has no current memberships).

Set the grace period after the membership elapses before it is archived, and whether the member will be deactivated when their membership is archived.

Do NOT deactivate this account

If this setting is selected, the membership will be archived, but the member will remain active. Active members remain on rosters and subscription lists and continue to receive members email.

Deactivate this account

If this setting is selected, the member and any dependent users (i.e. member company representatives) will be completely deactivated if the membership is not renewed within the grace period. If the member has renewed or replaced the membership being archived, they will not be deactivated.

Important

A deactivated member will be unable to log into the Web site.
