Chapter 87. Change Company Status

Overview

The Change Company Status tool allows administrators to quickly switch a company's status from 'active' to 'inactive' (and vice versa) to instantly deny or restore web site access to the company's representatives. Deactivating a company is an easily reversible way to respond to temporary conditions, such as a lapse in membership. Changing a company's status allows you to toggle a company's access to the site while keeping all the company data intact—as opposed to deleting a company, which permanently removes the deleted company's record from the database.

When you deactivate a company, you also deactivate and revoke access permissions from every user who belongs to the company. All company and user data is retained in the database, but users no longer have access to protected areas. To reactivate the company and its users, simply change the company's status back to 'active'.

Note

When deactivating a company, be sure you are familiar with your organization's privacy policy. If your policy requires the records of users who have left the organization to be permanently deleted, use the Delete a Company tool. When a company is deleted, records of all users belonging to the company are automatically deleted, so there is no need for you to delete users as a separate step.

Use the Change Company Status tool to:

  • Activate an inactive company to allow company representatives or employees to access the site.

  • Deactivate an active company to revoke web site access from this company's users.

How to use the Change Company Status tool

Search

Search for a company or set of companies by setting any or all of the optional fields to refine the search criteria. To view all available companies, leave the search fields set to the default values. If you set search criteria in more than one field, the results will only show companies that match all search criteria.

Options

Company

Enter a full or partial value for the company name. The default is 'Any Company'.

Current Status

Set this value to search for companies with this status type. This can be 'Active' or 'Inactive', or use the default value 'Any Status' to retrieve both active and inactive companies.

Purpose

Set this value to search for companies with a specific purpose: 'Member Company', 'Company for Individual Members', 'Nonmember' or 'Staff or Administration'. If set to the default, 'Any Purpose', the search results will return companies with any 'Purpose'.

Company Type

Set this value to search for companies with this specific type, or use the default value 'All Company Types' to retrieve all types of companies.

Select

Select the company whose membership status you want to change.

Change Status

Information for the company's you have selected is displayed. Review this information to confirm that this is the company you wish to activate or deactivate.

Depending on the company's status, either 'Activate company' or 'Deactivate company' will appear in the bar at the top of the page. If this is the correct company, set the 'Notification' options as desired to notify the company of the status change or add a note to the company's record for administrative purposes, then click the Activate or Deactivate button at the bottom of the page.

Current Status

This value is either 'active' or 'inactive', and indicates whether the company's users have access privileges to protected areas of the site.

Preferences – Privacy Option

The privacy settings for this company.

Memberships

A list of this company's memberships and the state and term of these memberships.

Users from this Company

A list of users whose status will be changed along with their company's status.

Notification
Send Scheduled Email

Select 'Yes' if you want scheduled email to go out, or 'No' if you do not. This option is only displayed if an email is scheduled to go out when the 'Company Is Deactivated' event occurs.

Activity Note

Add a note to this company's record. This note will be visible to administrators only, and can be viewed using the Company Activity History tool.

Done

You've just changed this company's status! Click Change Another if you have another company whose status you would like to change.
