Chapter 94. Manage a Company Membership Application

Overview

The Manage a Company Membership Application tool allows administrators to view a company membership application and moderate the application by approving or denying it.

There are two tools that allow you to manage company membership applications. Use this tool when you want to moderate a small number of applications, edit a specific company's information or send an email notification to the representative of a company whose application you deny. Use the Company Membership Applications tool to approve or deny multiple company membership applications at once.

Use the Manage a Company Membership Application tool to:

  • Approve or deny a specific company membership application.

  • Edit an applicant's information.

  • Send a customized email notification to this company's designated contacts.

How to use the Manage a Company Membership Application tool

Search

Search for a company or set of companies by setting any or all of the optional fields to refine the search criteria. To view all available companies, leave the search fields set to the default values. If you set search criteria in more than one field, the results will only show companies that match all search criteria.

Note

Depending on the path you took to this page, the Search and Select steps may have been accomplished through another tool, in which case you will not see the forms described in these first two steps.

Manage

Information for the company you selected is displayed, along with links to tools that allow you to manage this information.

This section includes links to Edit a Company and Edit a Company Membership tools, as well as options that allow you to moderate this membership and optionally add an activity note to this company's record.

Company information and membership management options:

Company Information

Information about this company is displayed. Press Edit if you want to change any of this information. Most field names are similar to the labels seen on Kavi Members pages.

Fields that may not be familiar include:

Contacts

A list of contacts for this company. This information includes the Company contact and Administration type, the full name of the contact and the contact's primary email address.

Preferences

Depending on your organization's policies, these privacy preferences may or may not be displayed.

Privacy Option

This option controls whether a Company Roster will be available for this company.

If set to 'Yes, share information' (1), a roster of this company's users will be available on the Company Roster page. If set to 'No, do NOT share information' (0), a roster of this company's users will not be available on the Company Roster page.

Note

Administrators may use this field to make decisions about whether this company should be displayed in other places that are unique to this site. This setting DOES NOT impact any other mailing lists or contact options on this site, including those in Kavi® Groups.

Show on Signup

This option controls whether the company will or will not be displayed on the Company Representative Signup form.

If set to 'Yes, show on signup' (1), this company will be displayed in the pulldown list that company representatives use to select their company. If set to 'No, do NOT show on signup' (0), this company will not be displayed in the pulldown list that company representatives use to select their company.

Types Granted through Membership

If this company's Purpose is 'Member Company', this field will contain a list of any Company Types assigned to this company through membership. This company's users inherit any roles and access privileges associated with these types.

General Types

A list of any 'general' Company Types assigned to this company outside of membership. All this company's users inherit any roles associated with these types from the company.

Admin Access Types

A list of any Company Types in the 'Admin Access' category that are assigned to this company. All this company's users inherit any roles associated with these types.

Membership Information

If you want to set the start or end dates of this membership, click Edit. If you want to replace the membership type with a different type, press Replace. If you want to delete the pending membership, press Delete. To capture the URL of the membership status page for the confirmation email or troubleshooting purposes click Public Membership Status Page.

Fields may include:

Membership Type

The name of the membership type.

Membership State

The state of this membership in the membership workflow process (e.g., 'current', 'archived', 'pending moderation', etc.).

Membership Status Page

Click Public Membership Status Page to capture the URL for confirmation or troubleshooting purpose.

Moderation Options

Click one of the following options to approve or deny this application.

Approve this membership

Select this option if you would like to approve this membership application. If you approve this membership, automated email notification of approval may be sent to the primary contact and admin contacts, if scheduled. Refer to the View Email Schedule tool for more information.

Deny and delete this membership

Select this option if you would like to deny this membership application. Once denied, the pending membership will be deleted from the Kavi Members database. If you deny this application, you will have an opportunity to send an email in the next step.

Notes

Add a note to this company's record. This note will be visible to administrators only, and can be viewed using the Company Activity History tool.

Send Email

This page displays the scheduled email generated by actions you've just initiated through this tool. Each scheduled email is listed by the name. These don't include scheduled email for other applications that may be installed, such as Kavi Billing or Kavi Showcase.

By default, each email in the queue is set NOT to go out. If you want to send this email, set the 'Send Email' option to 'Yes, send this email.', then review the message and edit if desired. When you press the Send Selected Email button, the email you selected will go out immediately. Any message you opted not to send will be suppressed, so you may need to manually generate a message at a more appropriate time through the Send Template Blast to Company Representatives or Send Template Blast to Users tools. The email templates used for scheduled email listed here are available to you when generating manual email blasts through these tools.

To identify the template used to generate this email, go to the View Email Schedule tool and find the value in the 'When' column that most closely resembles the heading here. The name of the template used for that scheduled email is displayed in the 'Template' column.

Fields:

Email template

The email template on which this email is based. The default template is preselected in the pulldown list. If you wish to use a different template, select your preferred template in the pulldown list and click 'Change Template'.

To:

The recipient(s) to whom this email is sent.

Cc:

A list of email addresses, aliases or contacts that will be cc'd when this email notification is sent.

From

An email address identifying the sender of this email. This field is usually prefilled with an administrative alias in the general format of 'admin@your_domain.org'.

Subject

The text that appears on the subject line of the email.

Body

The body stores the contents of the email message. This is prefilled with information that you may edit before sending the message.

Done

You've just moderated this company membership application, and the information is displayed for you to review.
