Chapter 90. Manage a Company Representative Application

Overview

The Manage a Company Representative Application tool allows administrators to view and moderate a company representative application by approving or denying the application.

A link to this tool will appear on the Admin Tools menu in the 'Membership, Types and Roles' section unless 'Moderation Options' is set to 'Do NOT moderate new users' in the Configure Company Representative Signup Options tool page.

There are two tools that allow you to manage company representative applications:

  • Use this tool when you want to moderate a single application, review or manage the user's account information or send an email notification.

  • When you want to manage applications for company representatives in bulk, use the Company Representative Applications tool.

Use the Company Representative Applications tool to:

  • Approve a specific company representative application and optionally send email notification.

  • Edit account information at the same time as you moderate the company representative's application.

  • Deny an application and optionally send an email notification to the company representative and designated contacts.

How to use the Company Representative Applications tool

Search

Set any or all optional search fields to define the search criteria. If you set more than one field, the search only retrieves applicants that match All the fields you've set.

Note

Depending on the path you took to this page, the Search and Select steps may have been accomplished through another tool, in which case you will not see the forms described in these first two steps.

Options

Name or Email

Enter a full or partial value for the first name, last name, username or email address of the user or group of users whose information you want to view, or leave this field blank to see all users who meet your search criteria. To increase the number of potential matches, expand the search by entering a partial value in this field and consider leaving other search fields set to the default values. To reduce the number of potential matches, provide more complete values in this field and consider setting other fields to further restrict the search.

Because the Kavi Members search functionality can perform partial matches, it is flexible and can serve many purposes. Here are a few examples:

  • Want to find all users who share an email domain? Enter just the domain portion of the email address.

  • Unable to find a user by name or email address? Perhaps it has been misspelled. Enter the first few letters of the name or email address and try the search again.

  • Not sure if the person for whom you are searching is named Dan Johnson or John Danson? You could enter 'Dan'—or 'John'—to find this individual.

Company

Set this value to retrieve users who belong to a specific company.

Status

Set this value to search for users with this status. This can be 'Active' or 'Inactive', or use the default value 'Any Status' to retrieve both active and inactive users.

Display Size

Select the number of company representatives that you would like to see dislayed per page.

Select

Applications that meet your search criteria are displayed. Click to select the application you wish to manage.

The list contains the following fields:

Applicant

The name of the individual applying for membership.

Company

The company with which this user is associated.

Email

This user's email address. It is important that an email address be added whenever possible, be correct and kept up-to-date. If an email address is incorrect or absent, the user won't be able to receive Members email or be automatically subscribed to the usual mailing lists.

Last Modified

A date indicating the last time the user's information changed.

Manage

Information for the applicant you selected is displayed, along with links to tools that allow you to manage this user's information.

This section includes a link to the Edit a User tool, as well as options that allow you to moderate this application and optionally add an activity note to this user's record.

User information and membership management options:

User Information

Information about this individual is displayed. Most field names are similar to the labels seen on Kavi Members pages.

Fields that may not be familiar from Members pages include:

Title

This user's company title (e.g., Senior Engineer, Customer Sales Representative, Director of Marketing, etc.).

Preferences

This user's privacy preference settings.

Depending on web site configuration, the following fields may be displayed:

Receive Members Email

If set to 'Yes, send general members email' this user will be sent all the usual members email. If set to 'No, do NOT send general members email', this user will be unsubscribed from the Members@(your site domain.org) email list and may be excluded from email sent through the 'Send Template-Based Email' tools.

Note

Administrators may also use this field to make decisions about what other kinds of communications to send to this user. This setting DOES NOT impact any other mailing lists or contact options on this site, including those in Kavi® Groups.

Privacy Option

If set to 'Yes, share information', user information will be displayed on the roster.

If set to 'No, do NOT share information', this user's information or entire account can be hidden, depending on the site configuration. Selecting this setting has the following effects:

  • Removes (or partially hides) this user from the company roster. This roster is only available to other users who belong to the same company and to administrators. The kinds of information that are hidden depends on organization policy and site configuration.

  • Removes (or partially hides) this user from membership rosters and directories.

  • In Kavi Groups, sets 'Display my address and phone number in addition to my name and email address' to 'No'.

Note

Administrators may use this field to make decisions about whether this user should be displayed in other places that are unique to this site.

Company Administration and Contact Types

A list of any Company Administration and Contact Types assigned to this user.

General User Types

A list of any general User Types assigned to this user.

Administrative Access

A list of any User Types assigned to this user that convey administrative access privileges.

Moderation Options

Click one of the following options to approve or deny this application.

Approve this company representative's application.

Select this option if you would like to approve this application. If you approve this application, automated email notification of approval may be sent to this individual, the company's primary contact and any admin contacts, if scheduled. Refer to the View Email Schedule tool for more information.

Deny and delete this company representative's application.

Select this option if you would like to deny this application. Once denied, the application will be deleted from the Kavi Members database. If you deny this application, you will have an opportunity to send an email in the next step.

Notes

Add a note to this user's activity history. This note is visible to administrators only, and can be viewed through the User Activity History tool.

Send Email

This page displays the scheduled email generated by actions you've just initiated through this tool. Each scheduled email is listed by the name. These don't include scheduled email for other applications that may be installed, such as Kavi Billing or Kavi Showcase.

By default, each email in the queue is set NOT to go out. If you want to send this email, set the 'Send Email' option to 'Yes, send this email.', then review the message and edit if desired. When you press the Send Selected Email button, the email you selected will go out immediately. Any message you opted not to send will be suppressed, so you may need to manually generate a message at a more appropriate time through the Send Template Blast to Company Representatives or Send Template Blast to Users tools. The email templates used for scheduled email listed here are available to you when generating manual email blasts through these tools.

To identify the template used to generate this email, go to the View Email Schedule tool and find the value in the 'When' column that most closely resembles the heading here. The name of the template used for that scheduled email is displayed in the 'Template' column.

Fields:

Email template

The email template on which this email is based. The default template is preselected in the pulldown list. If you wish to use a different template, select your preferred template in the pulldown list and click 'Change Template'.

To:

The recipient(s) to whom this email is sent.

Cc:

A list of email addresses, aliases or contacts that will be cc'd when this email notification is sent.

From

An email address identifying the sender of this email. This field is usually prefilled with an administrative alias in the general format of 'admin@your_domain.org'.

Subject

The text that appears on the subject line of the email.

Body

The body stores the contents of the email message. This is prefilled with information that you may edit before sending the message.

Done

You've just moderated this company representative application, and the information is displayed for you to review.
