Chapter 131. Edit a Scheduled Email

Overview

Super Admins use the Edit a Scheduled Email tool to change the schedule, conditions or recipients of a scheduled email. You can also edit the email template, select a different template or add a new template through this tool.

Edits performed through this tool are persistant. If you want to customize a template to send a message to a select group of recipients on a one-time basis, use the Send Template Blast to Company Representatives or Send Template Blast to Users tools.

Once a scheduled email has been added, you can't change the object that the email is about. Since the selection of the correct object can be based on some rather subtle distinctions, there are times when a Super Admin realizes that a scheduled email was based on the wrong object. When this happens, deactivate or delete the misconfigured email from the schedule and schedule a new email based on the correct object. You will not be able to use the same template because the templates are also based on objects. You will have to select or add a template based on the same object as the schedule. You will have the opportunity to do this on the Template step. Deleting a scheduled email doesn't delete the email template, so if you wish to do this, use the Delete an Email Template tool.

Use the Edit a Scheduled Email tool to:

  • Edit a scheduled email to change the schedule or details such as recipients and conditions that restrict whether the message will be sent to all recipients.

  • Edit or replace the email template.

How to use the Edit a Scheduled Email tool

The Select and Manage steps were performed through the Manage Email Schedule tool, so begin by resetting the schedule if you wish, then proceed to set details or managing the email template as desired. You must press Save on the Preview step in order to save any edits you have made.

When

This step allows you to reset the event or the time the email should go out in relation to the event (e.g., exactly on, or days, weeks or months before or after the event). For more information, see The 'When' field, or how scheduling works.

Details

You may use this step to edit details including the template, limitations on the conditions under which the email will be sent and recipient types. Press Next when you are satisfied with your settings.

Set Sending Details
When

The 'When' information set in the previous step is displayed.

Email Template

If you leave this option set to the current template or select a different template, you will be able to edit the template on the next step. If you want to add a new template, select the 'Add a New Template' option and you will be able to add a new template on the next step.

Conditions

Set conditions to restrict the list of recipients to whom the email will be sent.

Types

The types displayed will vary depending on the object you selected. Leave this option set to 'Any type' if you want the message to be sent to all types. If you want the message to be sent to specified types only, select the types to which you want the message sent.

Conditions

If you wish to restrict the conditions under which the email is sent, you may select one or more of these options.

Recipients
To

Set one or more types of recipients for this scheduled email. If you don't specify a 'To:' address, the first address in the Cc: field will be copied into the To: field.

CC

Set one or more types of recipients who will be cc'd on this email. You may also type or paste plain-text email addresses into the 'Email Addresses' text box.

Template

This step allows you to reconfigure an existing email template or add a new one. When you are satisfied with the template, press Next.

Options

When

The 'When' information you set previously is displayed.

Template Name

Add a name for your template.

Recipients

The recipients you specified previously are displayed.

From

The From field is displayed as it will appear in the email message header.

Subject

The Subject field is displayed as it will appear in the email message header. You may use any of the variables listed in the 'Variables' section of the page, but remember to keep the subject brief.

Text

This is the message that will appear in the body of the email. This is a plain text message, but it may include any of the variables listed in the 'Variables' section of the page. For more information on these variables, see Kavi Members Email Template Variables.

Preview

Review information about your scheduled email and set whether it will become active immediately or not. If you want to edit any of your settings, press Back. When you are ready to save your scheduled email, press Save. If you added an email template, it will be saved at this time.

Fields:

Schedule Details

The options you have set for 'When', 'Recipients', types and 'Conditions' are displayed.

Email Template

The template name is displayed, along with a preview of the 'From', 'Subject' and message text.

Status
Active

Set this option to 'Active' if you want the scheduled email to go into effect immediately.

Inactive

Set this option to 'Inactive' if you do NOT want the scheduled email to go into effect immediately. No email will be sent for an inactive scheduled email but Admins can use it to send email blasts.

Done

You've just added a scheduled email. If it is active, the new scheduled email goes into effect immediately. If you added a template, it is now available for use. If you've added an inactive scheduled email, no email will be generated until the scheduled email is activated.
