Use the Schedule an Email tool to schedule new template-based email messages to be sent when a certain kind of event occurs. If you haven't already done so, you should create a new email template through the Add an Email Template tool.
This document assumes you are familiar with concepts introduced in the Manage Email Schedule page help.
Back to topSelect the object that is affected by the event you want to use as a trigger. This is a little on the subtle side, but instructions are provided on the page so you can select the object under which your event trigger is listed. For more information, see What is the email about?.
The options are presented on this step in the order in which they will appear in the 'When' field on the Manage Email Schedule tool. Once you have experience with this tool it will be easy for you to set these options in the order in which they appear on the tool page. For the purposes of instruction, it's easiest to work backward.
Begin by selecting the event from the last pulldown list, then set the approximate time the email should go out in relation to the event (e.g., exactly on, or days, weeks or months before or after the event). Set the number of days, weeks or months from the date of the event. For more information, see The 'When' field, or how scheduling works.
Set details including the template, limitations on the conditions under which the email will be sent, and recipient types. Press Next when you are satisfied with your settings.

The 'When' information set in the previous step is displayed.
- Email Template
Select the template for this scheduled email. If you haven't added a template yet, select the 'Add a New Template' option, which will allow you to create a template on the Template step. If you select an existing template, a preview will be displayed on the Template step with variables replaced by values from the database (e.g., $org_name will be replaced by the actual name of your organization). - Types
The types displayed will vary depending on the object you selected. Leave this option set to 'Any type' if you want the message to be sent to all types. If you want the message to be sent to specified types only, select the types to which you want the message sent.

If you wish to restrict the conditions under which the email is sent, you may select one or more of these options.
- Recipients
- To
Set one or more types of recipients to whom this email will be sent. If you don't specify a 'To:' address, the first address in the Cc: field will be copied into the To: field.
- CC
Set one or more types of recipients who will be cc'd on this email. You may also type or paste plain-text email addresses into the 'Email Addresses' text box.
Configure your email template. When you are satisfied with the template, press Next.

The 'When' information you set previously is displayed.
- Template Name
Add a name for your template.
- Recipients
The recipients you specified previously are displayed.
- From
The From address you specified previously is displayed.
- Subject
Enter the value you want to appear in the email Subject field. You may use any of the variables listed in the 'Variables' section of the page, but remember to keep the subject brief.
- Text
Enter the value you want to appear in the body of the email. You may use any of the variables listed in the 'Variables' section of the page. For more information, see Kavi Members Email Template Variables.
Review information about your scheduled email and set whether it will become active immediately or not. If you want to edit any of your settings, press Back. When you are ready to save your scheduled email, press Save. If you added an email template, it will be saved at this time.
Fields:
- Schedule Details
The options you have set for 'When', 'Recipients', types and 'Conditions' are displayed.
- Email Template
The template name is displayed, along with a preview of the 'From', 'Subject' and message text.
- Status
- Active
Set this option to 'Active' if you want the scheduled email to go into effect immediately.
- Inactive
Set this option to 'Inactive' if you do NOT want the scheduled email to go into effect immediately. No email will be sent for an inactive scheduled email but Admins can use it to send email blasts.
You've just added a scheduled email. If it is active, the new scheduled email goes into effect immediately. If you added an inactive scheduled email, no email will be generated until the scheduled email is activated. If you added a template, it is now available for use.
