Kavi Mailing List Manager Help
Table of Contents
The Edit List Text tool is used to customize text automatically added to a mailing list's email messages. A standard set of text templates stored in an ezmlm file sets the default text for all of an organization's mailing lists. Edits made through the Edit List Text tool override these templates for a specific mailing list, allowing you to define customized templates for that list.
There are five different text templates available, depending on list type configuration: email subject-line prefix, top and bottom text, trailer text and subscription confirmation text. Prefixes and trailer text will be added to every email posted to the list before it is forwarded to subscribers. Top and bottom text are used only for automated email sent from the system, such as bounce messages. The text from these two templates opens and closes the automated message, which is sandwiched between the top and bottom text. The subscription confirmation template is, of course, used specifically for opt-in email sent to confirm subscription requests. The text in this template would appear sandwiched between the top and bottom text in an automated subscription confirmation request.
Customize text templates that will be automatically inserted into all text-based email messages sent to a particular list or set of lists.
Customize the available list text templates for this mailing list as desired, then click Save. If these templates have not yet been edited, the default ezmlm text will be displayed.
- Subject Prefix
-
When enabled in the underlying list type a prefix will be added to the subject line of all outgoing email. By default, the prefix is the list name enclosed in square brackets (e.g., [newsletter]). If you edit the prefix, be sure to keep the new version short.
Email subject-line prefixes consume some of the limited space available in an email subject line, but are still used by many lists because the prefix makes it easy for subscribers to sort and filter email.
For more information on this topic, see prefix in the List Features document.
Important
Do not use ezmlm variables in this template.
- Trailer Text
-
Trailer text is appended to the bottom of all messages posted to the list before they are forwarded to subscribers. It typically contains instructions on how to unsubscribe or get help, so it is a great way to avoid having your messages classified as spam.
The default text assumes the underlying list type is configured to accept public subscription requests, so it describes how to unsubscribe via email. If your list is based on a private list type that doesn't accept public subscription requests, you should revise the instructions and add the URL for the My Mailing Lists tool on your Web site that can be copied and pasted into a browser. For more information, see trailer text in the List Features document.
This field is displayed only if this list is based on a list type configured to use trailer text. Trailer text can be appended only to text messages. Messages sent in other formats such as Rich Text Format (RTF) or HTML will not include trailer text unless the site has been custom-configured to do so.
Important
Do not use ezmlm variables in this template.
- Top Text
-
Top text is a block of introductory text that appears on every email generated automatically by ezmlm. It is used to introduce moderation requests, subscription confirmations, responses to help requests, bounce notices and other automated responses. The <#l#> variable is converted to the list name when email based on this template are generated.
Important
This text should not usually be edited because it must follow a format expected by certain automated process. No other variables should be used in this template.
- Bottom Text
-
Bottom text is a block of text appended to the bottom of every email generated automatically by ezmlm. Similar to top text, but instead of introducing the message, it is used to close it. The <#l#> variable is converted to the list name when email based on this template are generated.
Important
This text should not usually be edited because it must follow a format expected by certain automated process. No other variables should be used in this template.
- Subscription Confirmation Text
-
If the Kavi® Mailing List Manager is configured to handle emailed subscription requests, it automatically sends an email in response to every subscription request it receives, requesting confirmation that the owner of that email address does in fact wish to subscribe. This confirmation prevents people from maliciously subscribing others to lists and makes sure that the email address is good (i.e. email sent to this email address does not bounce) before adding the new address to the list.
The text in this template forms the main body of the email sent to users to confirm subscription requests received via email and instructs the user how to confirm their subscription request.
The <#l#> variable will be converted to the list name when this template is sent. The !A variable becomes the subscriber's email address. The !R variable is the email address to which the subscriber must respond to be added to the list.
